Terms and Conditions for PlanWit
Last Updated: October 11, 2026
Welcome to PlanWit! By accessing or using our website, application, or services (collectively, the "Service"), you agree to be bound by these Terms and Conditions ("Terms"). If you do not agree to these Terms, please do not use the Service. By creating an account, you confirm that you have read and accepted these Terms and our Privacy Policy.
1. Description of Service
PlanWit is an expense tracking and management application designed to help individuals and groups log, organize, and calculate shared expenses.
2. We Are Not a Financial Institution
Limitation of Liability Regarding Finances: PlanWit provides tools for record-keeping and calculating informal debts among users. We are not a bank, payment processor, or financial institution.
- We do not hold, transfer, or process real money on your behalf.
- We are not responsible for the accuracy of the debts recorded, nor are we responsible or liable for ensuring that any user pays you what they owe.
- Any disputes over expenses, settlements, or debts must be resolved directly between the involved users. PlanWit assumes zero liability for financial losses, miscalculations, or disputes arising from the use of the Service.
- AI-generated content: Budget estimates and smart warnings are produced by an automated model from the information in your event. They are suggestions, not financial advice, and may be inaccurate or incomplete. You are responsible for checking any figure before relying on it.
- Autopay: An expense you set to autopay is recorded on the schedule you chose, without further confirmation from you, with its payment recorded against the fund you chose (or your Ghost Fund). These are entries in your records, not real payments — PlanWit never moves money. You are responsible for pausing or stopping a series that no longer applies and for correcting any occurrence that was recorded in error.
- Scheduled payments: A scheduled payment is a reminder you set up in your records that a payment is expected on a date, and who is expected to make it. PlanWit sends reminders in the app and, unless you turn them off in Account, by email — to the person named as the payer and to the event's Organizers. Reminders are a convenience: they may be delayed or not delivered, and PlanWit is not responsible for any missed payment, fee or loss that follows from relying on them. A scheduled payment is marked paid only when a payment is recorded against it in PlanWit; it does not confirm that any real payment was made.
3. Eligibility and Age Requirement
You must be at least 13 years of age to use PlanWit. By creating an account, you confirm that you meet this minimum age requirement. We do not knowingly collect personal data from children under 13. If we become aware that a user is under 13, we will terminate their account and delete their data.
4. Acceptable Use and User Conduct
You agree to use the Service only for lawful purposes. You are strictly prohibited from:
- Using the Service to track, manage, or facilitate illegal activities, including but not limited to money laundering, illegal gambling, or purchasing illicit substances.
- Uploading any content (including profile pictures or receipts) that is offensive, illegal, defamatory, or violates the intellectual property rights of others.
- Attempting to hack, reverse-engineer, or maliciously disrupt the Service or its APIs.
- Using the Service to harass, spam, or defraud other users.
- Adding people who aren't on PlanWit, or their email addresses or phone numbers, other than people you actually share costs with.
5. Service Availability ("As Is")
The Service is provided on an "AS IS" and "AS AVAILABLE" basis. While we strive for 100% uptime, we do not guarantee that the Service will be uninterrupted, error-free, or completely secure. We reserve the right to modify, suspend, or discontinue the Service (or any part of it) at any time, with or without notice. We will not be liable to you or any third party for any modification, suspension, or discontinuation of the Service.
6. Subscriptions and Payments
Certain features of PlanWit may be offered on a paid subscription basis (e.g., "Pro" or "Business" tiers).
- Billing: By selecting a paid tier, you agree to pay the stated subscription fees. Fees are billed in advance on a recurring cycle (monthly or annually).
- Refunds: Payments are non-refundable, and there are no refunds or credits for partially used billing periods, except where the law gives you a right to one. If you live in the EU/EEA or the UK, you may cancel a new subscription or Event Boost within 14 days of buying it and receive a refund, less a proportionate amount for any time the paid features were already available to you. If a paid feature is faulty or does not work as described, you may ask for a refund. To request one, email [email protected]. If you cancel your subscription, you will retain access to the paid features until the end of your current billing cycle.
- Business Branding: The Business tier lets you place your own business name, logo, and colour on exported reports in place of PlanWit's. You confirm that you hold the rights to any name or logo you upload. Reports you export with your branding are yours to distribute; the underlying figures remain subject to the accuracy of the data you and your collaborators entered.
- Receipt Scanning: Every plan lets you photograph a receipt and have its details read into a draft expense, up to the number of scans a calendar month shown for your plan on the Pricing page; on the Free plan this needs a verified email address. An Event Boost gives its event a number of scans shared by its members. The draft is a suggestion: you are responsible for checking the amount, category and other details before saving, and PlanWit does not guarantee that a receipt is read correctly. You confirm you have the right to upload any receipt you scan.
- Audit Feed: The Business tier lets an event's Owner and Organizers review and export the changes made in the events they run. The Audit Feed is a record of changes made in PlanWit, not a certified or tamper-proof audit trail. If you export it, you are responsible for how you share it, as it includes other members' names.
- When a Plan Ends: If a paid plan lapses or is cancelled, your account returns to the Free plan and that plan's features stop working, except inside an event that has an Event Boost. Nothing you created is deleted: events, expenses, receipt images and your business branding are kept, though branding is no longer placed on reports. A repeating expense set up under Pro stops adding occurrences until the plan is back, and then adds the ones that fell due in between. Reminders for payments already scheduled keep being sent, but scheduling a new payment needs Pro (on one expense at a time), Business, or an Event Boost on that event. Events you already share stay shared, but while you are over the Free limit you cannot share another.
7. Account Termination
Termination by you: You may delete your account at any time from Account → Privacy & Data → Delete Account. Deletion is immediate and permanent. Your personal data will be erased. However, financial records (transactions, settlements) within collaborative events will be anonymised rather than deleted, to preserve the integrity of shared financial histories for other participants. Events that nobody else is in are deleted with your account.
Termination by us: We reserve the right to suspend or terminate your account at our sole discretion, without prior notice or liability, for any reason, including but not limited to a breach of these Terms. Upon termination, your right to use the Service will immediately cease.
8. Limitation of Liability
To the maximum extent permitted by applicable law, in no event shall PlanWit, its creators, or its affiliates be liable for any indirect, incidental, special, consequential, or punitive damages, including without limitation, loss of profits, data, use, goodwill, or other intangible losses, resulting from (i) your access to or use of or inability to access or use the Service; (ii) any conduct or content of any third party on the Service; or (iii) unauthorized access, use, or alteration of your transmissions or content.
9. Changes to these Terms
We reserve the right, at our sole discretion, to modify or replace these Terms at any time. By continuing to access or use our Service after those revisions become effective, you agree to be bound by the revised terms.
